Email Outreach
1The goal of a first email
The goal is usually to start a relevant conversation, not to explain every feature or close the entire sale.
2Use a clear subject line
Keep it truthful and relevant to the business. Avoid deceptive urgency, exaggerated promises and misleading claims.
3Personalize the opening
Mention a genuine observation about the company, its market, customer journey or current activity.
4Connect observation to a possible problem
Explain briefly why the observation may matter, but do not pretend you know the company’s internal results.
5Present the outcome
Describe the practical result your service may support: faster enquiry response, more consistent follow-up, easier booking, better content production or reduced repetitive work.
6Keep the first email short
Decision makers are busy. Use simple language, short paragraphs and one clear call to action.
7Ask for a small next step
Examples include a short call, permission to send a brief idea, or confirmation of who handles the relevant area.
8Follow up professionally
If there is no reply, send a limited number of relevant follow-ups. Stop when asked and respect applicable communication rules.
9Track every email
Record date sent, contact, message angle, response and next action in the Prospect CRM.
Assignment Choose three researched prospects and draft a personalized first email for each. Base each email on a genuine observation and one possible business outcome.
